TERMS & CONDITIONS
Neither Orbis Catholic Travel LLC, its affiliated entities and its and their employees, shareholders, officers, directors, successors, agents, and assigns (collectively “OC-Travel”), own or operate any person or entity which is or does provide goods or services for these trips. Because OC-Travel does not maintain control or operate the personnel, equipment, or operations of the suppliers it uses, as such OC-Travel assumes no responsibility for and cannot be held liable for any personal injury, death, property damage or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of any wrongful, negligent, willful or unauthorized acts or omissions on the part of any of the suppliers or other employees or agents; any defect in or failure of any vehicle, equipment, or instrument owned, operated or otherwise used by any of these suppliers; or any wrongful, willful or negligent act of or omission on the part of any other party not under the supervision and control of OC-Travel. Additionally, OC- Travel waives any and all liability for losses or expenses due to sickness, lack of appropriate medical facilities or practitioners, weather, strikes, theft or other criminal acts, war, terrorism, computer problems, acts of God, or other such causes. All services and accommodations are subject to the laws of the country in which they are provided. OC-Travel reserves the right to make changes in the published itinerary whenever, in their sole judgment, conditions warrant, or if OC-Travel deems it necessary for the comfort, convenience, or the safety of the tour. OC-Travel reserves the right to withdraw any tour at any time. OC-Travel reserves the right to decline to accept any person as a member of the tour, or to require any participant to withdraw from the tour at any time, when such action is determined by the tour manager to be in the best interests of the health, safety, and general welfare of the tour group or of the individual participant. OC-Travel does not accept liability for any carrier’s cancellation penalty incurred by the purchase of a non-refundable airline or other ticket to the tour departure city and return or otherwise. Baggage and personal effects are the sole responsibility of the passengers at all times. Passengers may be photographed for the promotional purposes of OC-Travel. Payment of the deposit to OC-Travel constitutes acceptance of these terms and conditions. You agree that any dispute concerning, relating, or referring to this contract, the brochure or any other literature converging your trip, or the trip itself, shall be resolved exclusively by binding arbitration according to the then existing rules of the State of Minnesota in the United States.
A notice of cancellation must be received in writing. Penalties will be to the fax, e-mail, or postmark date. PLEASE NOTE: FOR CANCELLATION AFTER THE DEADLINE, CANCELLATION FEE OF 100% OF THE TOTAL PRICE. Cancellation protection travel insurance is required and can be purchased at the time of deposit.
Should the chaplain be unable to participate in this trip, every effort will be made to secure a substitute chaplain. Regardless of the participation of the chaplain, the tour will proceed as scheduled on the dates listed. By submitting your registration form to participate in a tour, you agree that the terms of the cancellation penalty will be binding upon you regardless of whether the chaplain is able to participate.
A valid passport is required for this tour and must be in your possession at all times during the tour. If you do not have a passport, apply immediately as the process can entail a prolonged wait. Remember to check the expiration date of your passport before booking. YOUR PASSPORT MUST BE VALID FOR A MINIMUM OF SIX MONTHS FROM THE RETURN DATE OF YOUR TRIP. Please note: it is your responsibility to confirm the validity of your passport – this is not the responsibility of OC-Travel. Further, it is your responsibility to look into the necessity of a travel visa, based upon the country of origin of your passport. At the time of reservation, OC-Travel requires a copy of the inside page of your passport (showing clearly your name and photo, birth day and expiration date).
You are responsible for purchasing your own flights. Flights are additional cost. OC-Travel does not include airfare in our pricing and we do not make flight arrangements.
Seats are limited and may not be available on every flight or departure date. The number of connecting flights, length of layovers, and all conditions of air travel cannot be guaranteed and may change before departure.
PLEASE NOTE: AT THE TIME YOU PURCHASE YOUR FLIGHTS, YOU MUST PURCHASE TRIP CANCELLATION INSURANCE so that you are protected in case of a personal or family emergency or unexpected trip or flight cancellation or interruption.
After you register for a tour, because every tour must first have a minimum number of participants before proceeding, you must first wait to receive the go ahead from the OC-Travel tour director before you purchase your flights. You are also required to forward to the same tour director your flight itinerary.

Because we allow our customers to secure their own preferred air arrangements, meeting the group at the agreed meeting point and time takes a bit of coordination. Most of the tours include round-trip airport-to-hotel transfers via coach bus. However, you are responsible for meeting the group at the specified time and location. If you miss the group at the agreed meeting point and time, you are responsible for the cost and arranging for your own transfer to and from the airport.
OC-Travel requires you purchase an international travel insurance plan (that includes trip cancellation and medical coverage). We do not sell insurance. OC-Travel is not responsible for any loss incurred by the traveler due to a cancelled flight or other means of transportation. Please investigate purchasing travel insurance to cover any type of loss associated with cancelled air or other transportation. We recommend you purchase travel insurance at the time you register. OC-Travel asks for prompt payment on the requested dates in order to keep our prices low and to meet our deposit schedules with our suppliers for this tour. Please see the reservation form for the payment schedule. OC-Travel accepts cheque, Visa and MasterCard for payment.
PLEASE NOTE: IF YOU CANCEL YOUR TOUR AFTER THE DEADLINE FOR REGISTRATION AND FINAL PAYMENT THERE IS NO REFUND. You must look into the purchase of trip cancellation insurance to be fully protected.
The itinerary presented is tentative and subject to change. It is subject to confirmations from many organizations. Because of changes in local schedules, we may need to alter specified events, dates, or venues, to better fit the overall plan. OC-Travel reserves the right to alter or cancel the itinerary, at OC-Travel services’ sole discretion, as it deems necessary for the comfort, convenience, or the safety of the tour.
OC-Travel pricing is for double occupancy (a shared room for 2). We recommend you travel with a spouse, friend or close relative to share a room with. A limited number of single rooms are available. If you cannot find a roommate to be your travel companion, you must pay the single-room supplement (additional expense). We can do our best to find you a roommate of the same sex, but cannot guarantee there will be a match. If there is no match, you must pay the single-room supplement. In our experience, the single-room supplement is a purchase well spent.
Luggage on wheels is required. Baggage is at owner’s risk throughout the tour. Checked baggage is limited to ONE bag per person. Details will be in your travel flight documents. For exact cost, weight and size, check with your airline. You may also bring a small carry-on bag that will fit under or above your airline seat and in the coach bus. You must be able to manage/carry your own luggage. Some tours have porterage of luggage, most do not.
Our journeys focus on the needs of our faith-based travelers. In visiting world famous spiritual sites, take note – there is often a dress code. Covering of knees and shoulders is required. No shoulderless tops are permitted at religious sites. Shorts are not allowed on the Scavi Tour in the Vatican. Please dress modestly.
All of our tours include a significant amount of walking. Moderate physical activity is expected on a walking tour. This includes stairs and uneven walking surfaces. Motor coaches are often not permitted to pick up or drop off in front of major attractions. Some of the most unique sightseeing includes accessing locations that restrict motor coaches, especially in historic city centres. Bring appropriate walking shoes. Travelers must be medically and physically fit.
Most of our tours are not wheelchair accessible. If you have need of a wheelchair, you must bring a care attendant with you.
Keep your eyes on your steps were you are walking at all times.
OC-Travel services reserves the right to decline to accept or retain any participant on any of its tours if, in its sole discretion, it deems any such participant as being detrimental to the tour and the well-being of the other travelers (before or during the tour). In the event that any participant is removed from a trip, OC-Travel’s only obligation is to refund to that person that portion of the payment allocable to unused services.
Gratuities for your local guide and bus driver are sometimes included and vary in amount. Check with the tour director. Other tips (such as for hotel staff) are additional and optional. In addition, a free-will offering is taken up at Masses for the local church.
